Executive Assistant

Reports to        CEO and Development Director<br />
<br />
Job Functions<br />
<br />
    Essential Functions<br />
Assist the CEO and Development Manager in the performance of their duty. <br />
Work closely with CEO and Development Manager to provide administrative support. Help them to make the best use of their time by dealing with secretarial and administrative tasks. This will include:<br />
<br />
&bull;    Screening telephone calls, enquiries and requests, and handling them when appropriate;<br />
&bull;    Meeting and greeting visitors at all levels of seniority;<br />
&bull;    Organizing and maintaining diaries and making appointments, conferences and conference calls;<br />
&bull;    Managing address books;<br />
&bull;    Compile expenses report;<br />
&bull;    Assist and coordinate expatriate matters as necessary<br />
&bull;    Dealing with incoming email, faxes and post, often corresponding on behalf of their manager;<br />
&bull;    Taking dictation and minutes;<br />
&bull;    Carrying out background research and presenting findings;<br />
&bull;    Producing documents, briefing papers, reports and presentations;<br />
&bull;    Organizing and attending meetings and ensuring her managers are well prepared for meetings;<br />
&bull;    Liaising with clients, suppliers and other staff;<br />
&bull;    Devising and maintaining office systems, including data management, filing systems, ordering supplies etc.;<br />
&bull;    Setting up and keeping travel, hotel, restaurant and accommodation arrangements. <br />
&bull;    Preparing presentations material using Microsoft office and other software (e.g. Quarterly and annual investor updates, annual plan, etc.)<br />
<br />
The secondary function, time permitting, is to assist various departments within the office as directed by the Office Manager, including:<br />
&bull;    Covering reception duties during lunch and breaks<br />
&bull;    Administering health and safety requirements<br />
&bull;    Providing cover for other assistants in the office<br />
<br />
Other Duties<br />
&bull;    Managing the ordering and maintenance of publications <br />
&bull;    Completing miscellaneous errands, internet searches, etc.<br />
&bull;    Dealing with various other issues as they arise (including telephone and mechanical)<br type="_moz" />

Job Qualification Requirements
Min Education Level First Degree
Work Experience 2+ years
Qualifications A minimum of two years of work experience with a professional organization. Direct experience in Ghana and/or Nigeria.
Ghanaian nationals preferred. Nigerians ALREADY living/working in Ghana open to apply.

Essential Knowledge and Skills

Fluent in English (both written and verbal).

Excellent verbal and written communication skills

Fluent in MS Excel, Power Point and Word. Fluency in MS Project and Access will be a plus.

Possesses the highest degree of integrity.

Excellent verbal and written communication skills.

Ability to adapt to a highly challenging and unstructured business environment.

Education
University graduate.
